Worked example · fictional data

Recording customer conversations and following up quotes.

A small sales team wants to keep track of customer agreements and outstanding quotes. Agents update records, prepare follow-ups and gather the information needed for a new quote.

This example illustrates a possible implementation. It does not describe a delivered client project or measured result.

The workflow in detail

How the work happens today
Agreements live in notes and email. After a call, the salesperson updates the CRM, asks a colleague for prices and remembers when to follow up. Handovers can lose the reasoning behind a customer agreement.
What the agent does
The agent matches notes and emails to the customer, extracts agreements, requested products and next steps, updates permitted fields and creates tasks. For a quote, it collects product and price information and flags missing specifications. Follow-up messages are prepared as drafts.
What the salesperson does
The salesperson asks: ‘Which quotes need a response this week? Prepare the follow-ups.’ They can specify that a customer wants contact only after an internal meeting. That agreement is included. The same check can run for their accounts without building CRM automations.
Respecting customer agreements
Ambiguous customer matches or conflicting notes need review. The agent does not invent purchase intent, prices or discounts. The salesperson reviews the quote and outgoing messages. A follow-up instruction does not grant additional access to customer data.
What Silvant builds
Silvant builds customer matching, CRM and quote integrations and update and follow-up rules. Source references show where an agreement came from. Checks prevent old notes from overwriting recent changes or duplicate messages being sent.
